Vaidyara

Terms and Conditions

Version 2.0 · Updated 5 November 2026 · Privacy Notice

These terms are the agreement between you and Vaidyara for using our website, apps and services. Please read them. By ticking the box and creating or using an account you agree to them. How we handle personal data is explained separately in the Privacy Notice, which you agree to with its own box.

1. What Vaidyara is

Vaidyara (vaidyara.com) has two parts: a patient portal where people find clinics, book appointments and keep their health records, and a clinic service for owners, doctors, nurses and receptionists to run a practice. Vaidyara is software. We are not a hospital, doctor or pharmacy, and we do not give medical advice, diagnosis or treatment. Medical decisions are made by the doctor treating you.

2. Your account

  • You must give correct details and keep them up to date. You must be 18 or older to hold an account. A parent or guardian may use Vaidyara for a child.
  • Keep your password and one-time codes private. You are responsible for what is done through your account. Tell us at once if you think someone else has used it.
  • One person, one account. Do not share logins: each staff member should have their own, so the record shows who did what.
  • We may suspend or close an account that breaks these terms, puts others at risk, or is used for fraud.

3. For patients

  • An appointment is between you and the clinic. The clinic sets its fees, timings and cancellation rules, shown when you book.
  • Information you give a clinic should be true and complete: it affects your care.
  • Reminders, prescriptions and reports are for you. Do not use another person's account or records.
  • In an emergency, do not use Vaidyara. Call 112 or go to the nearest hospital.

4. For clinics: owners, doctors, nurses and receptionists

  • The clinic owner accepts these terms for the clinic and is responsible for the people it adds, the roles it gives them and the patient data it enters.
  • The clinic is the Data Fiduciary for its patients' records, and Vaidyara is its Data Processor. The clinic must have a lawful basis, and obtain any consent needed, to put patient data into Vaidyara, and must answer patients' requests about their records.
  • Doctors are responsible for their registration, for the clinical content of every note, prescription and certificate, and for checking anything the assistant or reference data suggests. Vaidyara AI drafts and fetches; it never decides.
  • Staff may open patient records only as their work needs. Access is logged and the clinic can review it. Viewing records without a reason, copying them out, or sharing them is a breach of these terms and may be an offence under law.
  • Paid plans, taxes and refunds follow the plan and invoice shown in the clinic's account. If a payment fails or a plan ends, the clinic can still export its records for a reasonable period.

5. Acceptable use

Do not: break the law; upload anything unlawful, harmful or that you have no right to share; try to access another clinic's or person's data; probe, overload, copy or reverse-engineer the service; use bots or scrape; send spam through us; or misuse the assistant to produce false or misleading records.

6. Your data

Your records stay yours (or the clinic's). You give us permission to store and process them to run the service for you. We do not sell your data. See the Privacy Notice for details and your rights under the Digital Personal Data Protection Act, 2023.

7. Vaidyara AI

The assistant and the visit-note scribe can be wrong. Treat what they produce as a draft that a qualified person must check before it is used for care. It does not replace professional judgment.

8. Availability and changes

We work to keep Vaidyara running but cannot promise it will always be available or error free. We may change, add or remove features, and will give notice of changes that matter. Reference data (for example medicine lists) may be incomplete or out of date.

9. Limits on our responsibility

To the extent the law allows, Vaidyara is not liable for medical outcomes, for decisions made by doctors or clinics, for losses caused by events beyond our control, or for indirect or consequential loss. Our total liability for a claim is limited to the fees you paid us in the 12 months before it arose (or, if you pay nothing, a nominal amount). Nothing here limits liability that the law does not allow to be limited.

10. Our content

The Vaidyara name, logo, software and design belong to us or our licensors. You may use the service as these terms allow but may not copy or resell it. Third-party data is shown with its own licence on the data sources page.

11. Ending your account

You can stop using Vaidyara at any time and ask us to close your account and erase your data, subject to records the law requires to be kept. Clinics can export their records first.

12. Law and disputes

These terms are governed by the laws of India. Please write to us first so we can try to settle a problem: vaidyara.com@gmail.com. Courts in India have jurisdiction over disputes we cannot settle.

13. Changes to these terms

If we change these terms in a way that matters, we update the version and date at the top and ask you to agree again. Using Vaidyara after that means you accept the new version.
